Big Brothers Big Sisters of Puget Sound is a youth services mentoring agency that matches caring adults with children in a one-to-one model. Work with a dedicated, caring and fun team to meet the needs of our matches!
You will be responsible for providing office, finance, and employee benefits administrative support:
- Greet all incoming clients, volunteers and guests (whether by phone or in-person) in a consistently professional and friendly manner and route calls or visitors appropriately.
- Distribute incoming mail and process incoming cash receipts.
- Maintain, and act as primary vendor liaison, for leased office equipment including photocopiers and postage meters. This includes troubleshooting, calling for technicians, and ordering toner and ink cartridges.
- Organize, track inventory, order and maintain office supplies in accordance with Agency budgeting parameters.
- Maintain updated phone contact sheet, organizational chart, emergency contact and other staff lists as requested.
- Train employees on equipment operation and office procedures.
- Review, revise and create more efficient office procedures and maintain a well-kept office (including kitchen) environment.
- Assist accounting with biweekly timesheet collection.
- Post job announcements, collect resumes, and conduct background checks.
- Provide administrative support for employee benefits, including medical/dental/vision insurance, flexible spending plan, and life/ADD insurance.
- Complete all employee status change paperwork (hiring, benefit, compensation, performance, etc.).
- Assist managers and supervisors to stay current with 90 day and annual performance reviews (send out monthly reminders).
- Assist managers and supervisors with on-boarding new employees (set up office space, etc.).
- Assist with special projects and perform other duties as assigned.
The ideal candidate would:
- have an Associates Degree or equivalent experience
- be proficient in Microsoft Word, Excel, and Outlook
- have excellent oral and written communication skills reflecting solid customer service in person, via the telephone and email
- have excellent organizational skills and attention to detail
- be able to work independently exercising good judgment, decision making and problem solving skills
- be able to work with confidential information
- have access to a reliable automobile, valid driver's license and automobile insurance
