ORGANIZATIONAL OVERVIEW:
Bike Works, based in Seattle, builds sustainable communities by educating youth and promoting bicycling. Bike Works has been working for kids, bikes, and community in Seattle since 1996. Our programs and services invest in young people and encourage bicycling as a clean and healthy transportation alternative. Our programs include Earn-a-Bike and weekly riding programs for youth, summer bike camps, a community bike shop, our annual Kids Bike Swap, adult classes and volunteer opportunities, and more. Our Bike Shop serves Seattle residents from all walks of life with used bike sales and affordable repairs. Each year approximately 400 youth, ages 9 to 17, participate in our programs and gain the skills and resources they need to translate lessons about confidence and leadership into their own lives, helping them make healthier decisions about their futures. We also redistribute over 2,000 used bicycles annually to families in Seattle and internationally. ROLE OVERVIEW:
The Bike Works Office, Outreach & Events Coordinator will support all of Bike Works' office operations. They will also build the capacity of the organization by organizing community and family events, spearheading community engagement projects, and conducting community outreach, strengthening the organization by assisting Bike Works in its cultivation of relationships with the community. This position reports directly to the Executive Director. This is an excellent opportunity for a strong multi-tasker with substantive administrative skills, excellent attention to detail, computer skills (some database experience preferred), and enthusiasm for working as part of a team.
ESSENTIAL JOB FUNCTIONS:
• Coordinate all aspects of the administrative systems and facilities operations within the office, including maintaining an organized work environment, purchasing office equipment and supplies, coordinating facility maintenance and repair requests, responding to general requests for information and dealing with unexpected office-related issues or problems as they arise.
• Maintain phone and voicemail systems, including answering phones when available; oversee information systems, including website, computer networks, and other major office communications systems.
• Support accounting activities, including receiving and copying checks, making weekly deposits, and mailing payments to vendors.
• Manage donor and email databases to ensure accurate donor records.
• Maintain accurate and organized development files and electronic records.
• Provide logistical support for the Bike Works Annual Auction and other fundraising events.
• Process incoming donations, including preparing acknowledgement letters, donor listings, and other donor recognition activities.
• Work with Development Manager to produce Annual Report, newsletters and other mailings/publications
• Manage administrative volunteers.
• Manage Bike Works program and course registration systems
• Provide administrative support to Executive Director and other staff as needed
• Collaborate with other staff to plan and implement Bike Works events, including securing venues and event services, coordinating invitations and attendance, securing donations for events and sponsorship, tracking costs and revenue, providing an evaluation of events, and developing procedures for future event planning.
• Coordinate community events such the Kids Bike Swap, benefit concerts and the Rainier Valley Parade.
• Coordinate bike rack rentals, as well as in-kind donation requests from community organizations.
• Work with Development Manager to help coordinate the Bike Works Annual Auction and other events that cultivate financial support for Bike Works.
• Respond to general requests for Bike Works presence at community events & coordinate volunteers
• Coordinate organizational outreach operations of Bike Works, including responding to general requests for our presence at outreach events and coordinate our efforts to promote Bike Works in the community, maintaining outreach relationships with strategic local community and national bicycle education organizations, promoting programs and the organization at large to the community, and managing and cultivating Bike Works outreach volunteers to help with outreach events.
• Work in partnership with Executive Director, Board of Directors, other staff, and key stakeholders to contribute to the organization's vision, participate in organization-wide programs, and help create a sustainable organizational culture.
QUALIFICATIONS & EXPERIENCE:
REQUIRED:
• Bachelor's degree or equivalent combination of education and experience.
• 2 years professional work experience; nonprofit experience desirable.
• Excellent verbal communication skills and strong writing and editing capabilities.
• Ability to multi-task and manage multiple priorities and deadlines.
• Excellent attention to detail and organizational skills.
• Advanced skills with Microsoft Office and the Windows environment; proficiency in relational databases.
• Ability to work well independently with minimal supervision and as part of a team; work well with diverse styles and personalities.
• Willingness to work outside of office hours to support outreach and events.
• Strong commitment to promoting bicycling, supporting youth and to advancing social change.
PREFERRED:
• Prior office management experience.
• Experience with event logistics, planning, and management.
• Some experience with volunteer management and public relations.
COMPENSATION:
$27,000-30,000 (starting salary depends on experience), plus benefits, including full medical, vision, dental, vacation, sick leave, and flexible work schedule/environment.
