The ideal candidate will have knowledge of and experience in philanthropy and the nonprofit sector and an appreciation for the Community Foundation’s program areas, mission, and values. He or she will be able to help design and implement effective workflow processes and procedures, and contribute to an atmosphere which recognizes and respects cultural and individual differences.
Full Time - Monday through Friday – 37.5 hours per week
**DUTIES AND RESPONSIBILITIES:**
Administrative:
- Implement standard terms and conditions for grant award letters, agreements and contracts which have been developed by the Director
- Create and maintain grant files and records that meet legal, auditing and Foundation requirements
- Maintain grant applications, in mailings and online
- Draft routine correspondence
- Maintain contacts in Foundation’s database system (FIMS)
- Draft and update grants management manual
- Assist with special meetings and events
- Undertake special projects as assigned
- Prepare Community Program meeting minutes and reports
- Prepare Community Program docket materials for Board and Committee meetings
- Prepare written and other necessary materials for Committee members that summarize grant proposals for their consideration
- Support administration of special purpose funds, which occasionally requires drafting guidelines (RFPs), convening advisory committees, and marketing grant opportunities
- Ensure compliance with IRS regulations and Foundation requirements for all grants and programs
- Provide thorough due diligence for all grant recommendations from donor advisors and advisory groups
- Manage scholarship selection and distribution process
- Enter grants and maintain database coding; assure integrity of data
- Schedule reporting requirements and payments for new grants
- Maintain multi-year donor recommendations and work with Finance Department to monitor grant balances
- Provide reports and responses to inquiries and grants histories as requested
- Track incoming inquiries (LOIs) and proposals
- Schedule and attend site visits with grantees
- Assist with impact analysis: work with the Director to make grant reports useful to Foundation board, donors, the community, and nonprofits
- Draft correspondence to communicate fund balances, distribution, process, and important community developments to donors
- Respond and follow up to donor inquiries, ensuring accurate information is provided in a timely manner
- Assist with special meetings, educational opportunities, and events for grantees and donors
- Assist the Director in communicating agency stories to donors and the community
- Handle daily interactions with Foundation constituents with integrity and discretion
