- In partnership with Director of Development, manages and coordinates all aspects of the museum’s signature fundraiser to achieve event and budget goals.
- Organize and oversee procurement of all silent and live auction items.
- Work with Gala Committee on managing their work and tasks.
- Point of contact with all contracted service representatives. Provide oversight on all contracts. These include: Hotel Murano, Vangard, AA Party, Band, Auctioneer/AV and Lighting.
- Coordinates planning and administrative support for the event, including invitation lists, rsvp lists, and mailings.
- Serve as on-site event coordinator weekend of event.
- Coordinate any pre-event gatherings.
- Work with museum communications and marketing staff to develop communications plan and print materials. This includes invitations, website, program, PowerPoint presentations.
- Develops budgets and ensure accurate invoicing and accounting, and assists with other office work as time allows.
- Maintains positive relations with museum donors and patrons, and conducts other duties as assigned.
Desired Skills, Knowledge, and Abilities
Minimum Qualifications
- Goal-oriented with strong organizational and project management skills.
- Ability to foster and sustain relationships with a variety of members, donors and volunteers.
- Outstanding written and interpersonal communication skills.
- Experience in motivating and staffing volunteers .
- Computer proficiency: Microsoft Word and Office Suite including Excel/mail merge functions and fundraising database applications (Raiser’s Edge experience preferred); graphic design skills a plus.
Working Relationships
The Coordinator of Special Events reports to the Director of Development and will work closely with all museum staff and volunteers.Compensation and Timeline
Part-time hourly position at $13–$15 per hour starting June 1, 2012.Expected hours are:
- June–August, 20 hours per week
- September, 30 hours per week
- October, 40 hours per week
- November, 20 hours per week
