POSITION DESCRIPTION:

Perform monitoring activities that are necessary to assure contract compliance. This position along with program activities will include performing on site reviews with managers/directors and provide a written report for review. The contracts compliance coordinator will work with the Regional Chief of Operations, Clinical Director and Director of Finance to support contract compliance on the program level, provide reports and problem- solve/recommend solutions. This position will also work to coordinate contract flow through legal protocol/approval process.

ESSENTIAL JOB FUNCTIONS:

Program Compliance and Review:

  • Conduct compliance and/or operational reviews of various programming in King County.
  • Detect deficient controls and non-compliance with laws and regulations, policy, or any provision within the service agreement.
  • Investigate and define problem areas, formulate questions and prepare information that identifies problems identified during monitoring review.
  • Research contract documents and follow up in a timely manner with Regional Chief of Operations on contract compliance issues.
  • Prepare and issue reports summarizing work performed, findings and recommended courses of action to improve/resolve deficiencies in all areas of non-compliance.
  • Develops contracts compliance work plans.
  • Responsible, along with program leadership for compliance at the program level.
Contract Coordination

  • Implements the practice and procedures established for contract initiation and approval.
  • Reports status of contracts to Regional Chief of Operations daily.
  • Provides detailed reports and presentations regarding contracts process.
  • Prepare contracts for signature.
  • Maintains records and correspondence involved with the approval process.
  • Ensures that all related support information is researched and prepared for contract review.
Other

  • Provides compliance training both one on one and in groups.
  • Other duties as assigned.
QUALIFICATIONS:

  • Bachelor of Science Degree preferably in Accounting, Business Administration, or Finance is required; or at least two years of hands-on experience managing and/or coordinating diverse contracts.
  • Knowledge of a variety of governmental funding sources and their different compliance requirements, specifically Federal, State of Washington, City of Seattle and King County.
  • Excellent verbal and written communication skills including the ability to interact positively with a wide variety of individuals, including senior management.
  • Ability to independently conduct compliance site visits effectively.
  • Ability to prepare and deliver presentations based on data received and analyzed under the guidance of the Regional Chief of Operations.
  • Must have excellent computer skills with MS Word and Excel. A working.
  • Excellent database skills (access, etc.)
  • Power point skills.
  • Must have excellent customer service skills.
  • Experience providing trainings to small groups of people.

JOB CONDITIONS:

This position requires the employee to work in an office environment where there may be interruptions and a moderate amount of noise from telephones and conversations among employees. Extensive use of computers and related office equipment is typical of this position.
