Responsibilities

The Employment Specialist (ES) plans and coordinates searches that are legally compliant and cost-effective while meeting established service criteria and talent goals.

  • Performs full-cycle recruiting activities including consulting with search committees regarding position-specific search schedules and strategies. Ensures that search chairs and committees meet timelines throughout search. Confirms position budgets.
  • Maintains applicant tracking system with high degree of accuracy. Also maintains and troubleshoots system, including user account management, applicant profile management, tracking of advertising, records management and reporting, application material uploads, and applicant or search status changes.
  • Maintains employment records, forms, related files, and policies in accordance with applicable laws, regulations, and best practices.
  • Trains search committees on candidate assessment, employment processes and related topics.
  • Contributes to the university's diversity efforts by recommending and implementing marketing and recruiting programs to access local, regional, and national sources for diverse applicant pools; networking with individuals and organizations; and developing and analyzing data to evaluate diversity hiring efforts.
  • Suggests onboarding, orientation, and development strategies to hiring supervisors for new staff members; conducts first-day meetings with new staff members. Provides counsel and support to leaders and individual contributors with on-boarding questions. Serves on orientation planning committees.
  • May advise supervisors regarding performance management policies, processes, and resources. Researches and analyzes third-party products (training events, job aids, tutorials, reference works) for faculty and staff professional development; makes recommendations and may manage product implementations; may administer vendor contracts.
  • May assist as backup for routine employee consultations such as exit interviews.
  • Leads functional and strategic projects requiring expertise in represented functional areas.
  • Sets timelines, agendas, and develops project plans. Runs project meetings and ensures accountability of project team.
  • Administers staff recruitment budget.
Qualifications

Bachelor's degree or the equivalent plus two years of human resources experience, or equivalent combination of education and experience. Post-secondary coursework in human resources management or related areas (e.g., business, communication studies, psychology) desirable.

  • Ability to act as liaison for HR leadership team by detecting and communicating emerging issues from customer contacts
  • Demonstrated ability to serve multiple functions while spotting issues and trends; ability to escalate issues efficiently and effectively
  • Ability to consider the ultimate impact of decisions and actions on internal and external customers
  • Ability to set effective work goals, establish priorities, and plan well in environment with frequent interruptions, in order to produce quality work
  • Ability to execute effectively by using resources efficiently, meeting deadlines, and keeping others informed of work plans and progress toward goals
  • Superior one-on-one interpersonal and communication skills, including ability to foster confidence and trust, listen sensitively, and respond appropriately
  • Excellent organizational and analytical skills
  • Ability to work effectively with a broad range of constituents: staff, faculty, students, and the general public
  • Demonstrated ability to write professionally and accurately and effectively present information
  • Experience with Microsoft Office suite
  • Experience utilizing relational databases
  • Experience utilizing online applicant tracking systems (experience with maintaining and managing online applicant tracking system infrastructure is preferred)
