I. PRIMARY DUTIES AND RESPONSIBILITIES
1. Answer phones and receive visitors
2. Maintain office supplies/machines. Request/order/receive and inventory supplies.
3. Pick-up/drop-off and process mail
4. Assist in Background Clearance process for employees & potential foster homes
5. "Hire", interview and provide orientation to potential case aides.
6. Collect and organize paperwork for potential employees; assemble personnel files
7. Keep personnel files and database up-to-date, inform employees of expired documents and receiving updated documents to file in personnel files. Track Trainings
8. Assist Training Coordinator as needed
9. Assist Respite Coordinator with Respite of foster homes, including notification and verification & report to financial dept.
10. Coordinate scheduling of Case Aides for DSHS/CFSF approved assignments and send out appropriate paper work (track paperwork for return).
11. Ensure that all scheduling be completed in a timely manner and information is distributed to appropriate personnel.
12. Review with Case Aides all details of assignment and refer them to the Case Manager for review of child files prior to assignments.
13. Distribute visitation notes and service sheets to Case Manager.
14. Track crucial & time sensitive documents/info - i.e., (HSSP's, Quarterly reports, Consent to Transport, Last visit to FP, PCV & CPA expirations) Spreadsheet template for all is available
15. Participate in DSHS Annual Time Study and other projects as requested.
16. Create new Children files for children or youth.
17. Ensure all necessary information on new children is relayed to financial department.
18. Attend Staffings
19. Complete Intake docs for Case Managers
20. Review & E-mail Time cards for Case Aides weekly

II. TRAINING MANDATORY TO SERVICE
1. Orientation/Reporting
2. Child abuse and neglect video/cd
3. 1st Aid/CPR/HIV

III. Probationary Period
1. There shall be a 2 week period to complete any of the above trainings
2. A 3 month probationary period of on-the-job performance/review performed before job status is confirmed.

IV. Training within 6 Months of Hire Date
1. As requested by supervisor.
2. Performance Reviews
3. Evaluation will consist of but not limited to the following:
a. Quality, promptness, thoroughness, legibility of documentation/reports
b. Communication with all staff, foster families, DSHS and other agency personnel
c. Professionalism in performance and appearance
d. Confidentiality
e. Flexibility in acceptance of work hours
f. Ongoing education/training 20 hours annually

VI. Qualifications
1. Education: Minimum of high school diploma
2. Must be an organized, self-starter
3. Must be available to work a flexible schedule
4. Must possess excellent communication skills
5. Must be computer proficient
6. CPR/1st Aide/HIV trained
7. Maintenance of a good driving record, current driver's license and auto liability insurance of $100,000/$300,000
8. 25-30 hours per week.
