Reports to: Organization and Member Services Director
Job Purpose:
The Member Services Assistant is a key member of the Washington Youth Soccer Member Services team providing a broad range of support and reporting directly to the Organization and Member Services Director.
Duties and Responsibilities:
Maintain and develop relationships organization-wide:
•Coordinate administrative tasks for overseeing local organization cultivation and relations, including research, membership requirement documentation, and follow-up communications to membership.
•Cultivate relationships with local association board members and volunteers to secure organizational support and ensure awareness of member benefits.
Documentation and content creation:
•Maintain meeting minutes for the Board of Directors and other state-level committees as necessary. Work with Marketing and Communications staff to ensure timely posting of meeting minutes and documents to the website.
•Liaise with staff and committees to manage committees' meeting deliverables and budgets.
•Maintain data on community contacts, board members, member organizations, and membership events. Maintain records to ensure that volunteer and board member data is current. Work with Marketing and Communications staff to secure current addresses for all returned mail and updates information in databases and distribution lists.
•Draft written content for email, website, social media, blogs, and correspondence.
•Assist staff in documenting internal policies and procedures.
Development of member service programs and resources:
•Serve as a brand ambassador for Washington Youth Soccer mission/programs.
•Research needs across membership groups to create dynamic support and resource options from the state and carry the organization's mission and values from the state-level to clubs/associations.
•Assist in the creation of a process for collecting feedback on state programs from membership groups with the help of Marketing/Communications to establish baseline and process for action.
•Development of volunteer recruitment and retention best practices for training initiatives, such as webinars, workshops, etc.
•Aid in managing membership programs and developing strategies to increase participation in education programs.
•Work with Member Services Director to build relationships between clubs/associations and the state office/committees to bridge the gap between local and state-level views and issues.
•Grow and retain membership, support and build strong relationships with local organizations and their leaders, and identify members who have potential to become leaders in the organization at all levels.
Qualifications & Requirements:
Qualifications should include 1-2 years previous work experience in an administrative capacity or related field. Ideal candidate must be proactive, detail oriented and driven to succeed. The candidate will have excellent interpersonal, organizational and planning skills, time management, and effective written/verbal skills. He/she will demonstrate drive and initiative, the ability to adapt to changing circumstances (direction and strategy) while continuing to have professional and positive interactions. It is important that this person is able to prioritize own work to complete projects on time as required. The candidate will have the ability to work successfully in a team environment, build effective working relationships with inside and outside groups, and accommodate working styles and perspectives of diverse individuals. He/she will possess knowledge of current and emerging tactics in membership retention and growth, including but not limited to applications of digital and social media; knowledge of and passion for soccer and broader cultural communities; and the sophistication and bearing required to represent Washington Youth Soccer. Knowledge and proficiency with Microsoft products, including Outlook, Word, Excel, and PowerPoint required. A BA/BS degree preferred but not required. The candidate must have the ability to regularly participate in evening events and travel, as required. Applicant must be able to pass a risk management background check.

Salary:
Compensation commensurate with experience, plus an excellent benefits package including Health and Dental Insurance, Short and Long Term Disability Insurance, Life Insurance and Vacation/Sick leave. A Retirement program with 401k is also offered.
